How do I transfer addresses from an Outlook mail group to Excel?

You want to transfer all email addresses from a mail group in Outlook to Excel in separate columns and rows. This is done as follows:

Step 1: Open Outlook and create a new message.

Step 2: Find and select the mail group from which you want to retrieve the email addresses in the field :To, right-click, and then click on Distribution List.

Step 3: Move into the field :To with your mouse and press CTRL+A. All email addresses will be selected. Press CTRL+C to copy all email addresses.

Step 4: Open Excel, open a new file and paste all email addresses you have just copied from outlook in the first row (cell A1).

Step 5: Select cell A1. In the Data > Data Tools menu, click the option Text to Columns.

Step 6: In the Convert Text to Columns Wizard window, choose the option Delimited, select Semicolon, and then click Next and Finish. A separate column with data will now appear after each ;- sign.

Step 7: Copy the text from row 1 (i.e., whole row) and paste it into cell A2. 

Step 8: Place the cursor on cell A2, right-click and select Transpose. The data will now appear in one column in separate lines (instead of in a separate column).

Step 9: Delete row 1 (not only data but whole row).

Step 10: Select column A (i.e., whole column)

Step 11: In the Data > Data Tools menu, click the option Text to Columns.

Step 12: In the Convert Text to Columns Wizard window, choose the option Delimited and then select Other and put the <-sign in the field behind it (this is a command to split the data into separate columns where the <-sign is) and then click Next and Finish. The data will now appear in two columns in separate lines (column of names and email addresses).

Step 13: Select column B (i.e., whole column) 

Step 14: In the Data > Data Tools menu, click the option Text to Columns.

Step 15: In the Convert Text to Columns Wizard window, choose the option Delimited and then select Other (this is a command to split the data into separate columns where the >-sign* is located, making the >-sign disappear behind the email address) and then click Next and Finish. 

* Please note that this time it is a >-sign instead of a <-sign .
