How do I update the subscriber data of all my existing subscribers?
By importing an Excel file - which contains the additional subscriber data of your subscribers - you can quickly modify or supplement subscriber data of existing subscribers in your Laposta list.
You can use additional subscriber data to personalise your newsletter and/or segment your list.
You can import your Excel file into your list from the page Subscribers → Add → Import. The Excel file to be imported must end in .xls, .xlsx or .csv.
Importing an Excel file is done in four small steps:
- Step 1: Select file (1/4)
- Step 2: Select subscribers (2/4)
- Step 3: Select columns (3/4)
- Step 4: Results (4/4)
In Step 1 you select your Excel file on your computer. In Step 2 you select whether you wish to modify the subscriber data of your existing subscribers in your Laposta list (the second option). If you wish, you can also import new subscribers at the same time (check option three).
In Step 3 you can indicate for each column of your Excel file whether you want to import the data. And if so, under which field this data may be included in your Laposta list. In Step 4 you will see the results of your import.
Subscriber data are always linked to the associated email address. If you have a new email address for a certain subscriber during import, Laposta will not adjust the old data for this subscriber, if you chose option 2 in Step 2. If you chose option 3 in Step 2 a new subscriber will be added to your list. The subscriber will appear twice in your list: once with the old and once with the new email address.
When modifying subscriber data it is good to know that the values of a field in your Laposta list are not modified (and therefore not deleted) if you do not assign an Excel column to the field when importing. In this case, the existing values for the field concerned will be maintained.
When assigning an Excel column, the old field values are overwritten, even if the cells in the Excel column that you are importing and assigning are empty.
A simple example to clarify. Suppose you have a list with three subscribers (John X , Ann Y and William Z) and five subscriber data (the email address and the fields First name, Last name, Gender and Sports). In Laposta you have the following data:
subscriber X: johnX@hiscompany.com - John - X - male - tennis
subscriber Y: annY@hercompany.com - Ann - Y - female - hockey
subscriber Z: williamZ@hiscompany.com - William - Z - male - football
When importing, you indicate that you want to import new subscribers as well as modify subscriber data (option 3 in Step 2). You import your file and assign an Excel column to the fields email address, First name, Last name and Gender. For John, Ann and William, these are the data:
johnX@hiscompany.com - John - X - [empty].
annY@hercompany.com - Ann - [empty] - female.
williamZ@hisenterprise.com - William - Z - male
After import you will have the following data in your Laposta list:
subscriber X: johnX@hiscompany.com - John - X - [empty] - tennis
subscriber Y: annY@hercompany.com - Ann - [empty] - female - hockey
subscriber Z: williamZ@hiscompany.com - William - Z - male - football
subscriber Z: willamZ@hiscompany.com - William - Z - male - [empty]
